Create Separate Tasks for each Assigned To user

Information on and how to create an Approval Task within a Workflow assigned to individual users as an Approval Group in Contract Logix

Understanding Workflows

Contract Logix provides automation tools for contract lifecycle management for accounts which have purchased them. In short, Workflows are a series of actions accomplishing one or more steps, most automated, in a contract business process.

The Workflow Create Approval action, which creates an Approval Task, can be assigned to an Approval Group wherein each Assigned To user will receive the Approval Task and each individual in the group will give their Approval OR Rejection.

NOTE: The Create Approval action creates a task which must be completed for the Workflow to proceed to the following steps. In the case of an Approval Group, the system will wait for each individual to complete the task assigned to them. If any individual in the Approval Group Rejects the task, the task will proceed down the Rejected path and next step (if there is another step). All remaining tasks for other individuals will be marked "Incomplete" in the task Status. Only when all members of the group have Approved will the Workflow continue down the Approved path and next step(s).

To Create Separate Tasks for each Assigned To user, follow these steps:

  • On the homepage, click to access the Application Settings, then click

    .

  • Select an existing Workflow from the grid or click .

  • In the Workflow Designer, locate and click from the Workflow Steps and Actions panel on the right.

  • In the Create Approval pop-up window, add a description (optional) and use the Associated Object drop-down to select Contract.

  • Enter an number value in the Due in (days) Field.

  • Click to the Create separate tasks for each Assigned To user toggle (see graphic below).

  • Using the Assign To section, click the drop-down menu to select to whom the Approval Task will be assigned. NOTE: It is possible to assign multiple individuals (e.g., Contract Owner, User, etc.) and Departments or Roles. NOTE: Each will receive their own Approval Task for the Contract record.

  • Using the Assigned By section, click the drop-down menu to select who the task is assigned by.

  • Select to save the step.

The task will be assigned to an Approval Group and the group will be given an ID number. In the Task Details, the task will show the Approval Group ID number and the Assigned To features a drop-down menu, as seen in the graphic below:
