Understanding Workflows

Contract Logix provides automation tools for contract lifecycle management for accounts which have purchased them. In short, Workflows are a series of actions accomplishing one or more steps, most automated, in a contract business process.

NOTE: Workflows are a feature available in accounts which have paid for them.

Workflows can be triggered in several ways.

Manual Trigger

A manual trigger is a workflow that starts when a user selects it from within a record. When creating a workflow to trigger manually, do not define a rule for the initial (Start) step.

The user will:

  1. Open a record and hover over and from the drop-down, select

    .

  2. Select the workflow to trigger from the drop-down.

Automatic Trigger Based on Rules (Conditions)

Workflows will trigger automatically if the rule(s) defined in the initial (Start) step are met. Rules are based on field values. The system checks for the start conditions (rules) approximately every 5 minutes. By their nature, automated Workflows will trigger regardless of Organizational Ownership.

To define a workflow rule:

  1. Click on the Start step to open it.

  2. Enter a brief description of the condition(s) that will trigger the workflow.

  3. Define the rule. The first row is added for you. In the first position, select a field to evaluate (i.e., Contract Type). In the second position, select an operator (i.e., equal). In the third position, select a value (i.e., MSA).

  4. To another rule (row) click and define as above. Repeat as needed. To join the rows, choose .

  5. To add a new group of rules, click and define as above.

  6. To delete a rule or group of rules, click .

  7. When all rules are added, click .

Automatic Trigger via Alert or Alert Rule

You can add a manual workflow to an Alert or Alert Rule and the workflow will trigger when the alert goes off.

  1. Open the Alert or Alert Rule.

  2. At the bottom, select a Workflow to trigger when the alert goes off. Only workflows associated with the Object Type you are setting the alert for can be selected.

  3. Click .
