Understanding Workflows

Contract Logix provides automation tools for contract lifecycle management for accounts which have purchased them. In short, Workflows are a series of actions accomplishing one or more steps, most automated, in a contract business process.

Users with the appropriate privileges can use the Manage Workflows feature to export full Workflow designs for import into other Contract Logix accounts.

NOTE: The Export/Import Workflows capability is activated in the Administrative Access section of Feature Access of the end user's Role profile.

Export Workflows

Using the Export Workflows feature exports the full structure (steps, branches, and descriptions) of the selected Workflows into a .zip file for import into another Contract Logix account.

NOTE: The configuration elements of the Workflow, such as Tasks Types, Email templates, Departments/Roles, and Clause/Templates will NOT be transferred. Therefore it is important to re-associate certain Workflow Steps/Actions to these elements within the destination account.

Click Export Workflows to open the Export Workflows pop-up. Here, a list of existing Workflows are presented. Next, select the check box next to the ID number and name of the Workflow or Workflows to be exported (alternatively, click the check box in the header row to select all Workflows) as seen below. Finally, click the Download file button. The export file appears in your Downloads folder.

Import Workflows

Using the Import Workflows feature imports the exported Workflow .zip file into the destination Contract Logix account. Logged into the destination account and with the appropriate end user permissions, visit the Application Settings, then click Workflows. Locate Manage Workflows and click Import Workflows.

Next, using Step 1: Upload exported zip file, drag and drop into the dropzone box or click the dropzone box to browse for the zip file. Once chosen, click the Upload button, as seen below.

On the next page of the Import Workflows, Select Overwrite or New using the Import Action drop-down menu for each Workflow to be imported. If choosing New, the Import As field becomes editable to update the name of the Workflow. Finally, click the Complete Import button as seen below to complete the import process.

NOTE: The newly imported Workflow(s) will be inactive. You must manually make them Active in the destination account.
