Understanding Role Permissions

Role Permissions determine which record types users are permitted to access. Each Contract, Contact, Document, Assignment, Organization, Custom Object and Request (in accounts which have purchased this feature) record type is listed separately in Role Permissions. Each record type can be set to Add and/or Edit, Read Only or No Access.

NOTE: Individual, one-off Contract record access can be given to select users irrespective of their permission level assignment by using the Allow Record Level Access Edit checkbox found at the top of the Contracts Permissions.

Once the permission Allow Record Level Access Edit has been set for the users, use the Access Level column in the Contract mini-grid to provide the appropriate capabilities for the users given one-off record access, as seen below:

Steps for configuring Role Permissions:

From the homepage, click to access the Application Settings, then click

.

Click for a role.

Permissions are divided into sections by Object. Within each Object is a row for each Record type.

For each record type, select a permission level:

  • Add checkbox allows users to add new records of that type but not edit existing ones. Exception: the creator of a record always has edit access to that record.

  • Edit checkbox allows users to edit existing records of that type but not add new ones.

  • Both Add and Edit checkboxes allow users to add and edit records of that type.

  • Read Only radio button allows users to view records of that type but not make any edits.

  • No Access radio button prevents users from viewing, adding, or editing records of that type.

  • Option: Access All Org Ownership. Checking this checkbox will enable users to access all object records regardless of organizational ownership (record type permissions still apply).

  • Option for Document Types only: Read Only Allow Download. Checking this checkbox will allow users with Read Only access to a document type to see the Download button and download documents of that type.

When finished setting Permissions, click at the bottom to save changes.

TIP:

To quickly set all the types within an object section to the same level, click the Set All To link above the appropriate column.

If the list of types is long, quickly jump to a particular object by clicking the

button in the upper right. Then click on the object header to expand just that section.

Click the button to expand the list.
