Use this procedure to define, within each of the following Objects (Assignments, Organizations, Contacts, Contracts, Documents, or Requests) the types of records you want to capture in the system. For example, if you want to capture Lease Agreements as a Contract record type, create a new Contract Type named Lease Agreements.

Follow the steps below to add new record types:

From the homepage, click to open the Application Settings, and then select from the Settings menu.

Use the Object Type drop-down to select the type you wish to add. For example, to add a new type of contract, select Contract from the drop-down.

Click at the top in the menu bar.

Next, scroll down the list and click and enter the new Type in the Name field.

Finally, click to save the new record type.

Changing the Types sort order when creating new records

When a user creates a new record (like a contract), the order of the types in the drop-down is determined by the Sort Order field at the top of the Edit Types page. Choices are:

  • Alphabetical (A-Z Ascending)

  • Alphabetical (Z-A Descending)

  • ID Ascending (Order Added)

  • ID Descending (Order Added)

  • Order by Value (Lookup Order)

TIP: If you select the Sort Order "Order by Value", use the or to re-order the rows.

NOTE: Once a new Record Type has been created, select the record type and customize the Layout of the record to collect the data you need. For more information, click the Placing Fields on a Layout or Rearranging the Sections in a Layout links to review the Knowledge Base articles.

IMPORTANT: Since new types have a default permission level of No Access, users (except for the Tenant Owner) will not see new types in the system unless they are enabled in their role permissions. For more information, click the Role Permissions link.
