When there are many documents to reference or work on during contract preparation and negotiation, this feature lets you multi-select records in master object grids. Once selected, the system will create a downloadable zip file of associated documents and notify you via the header alerts and via email that the download is ready. Applies to Contracts, Organizations, Contacts, and Documents Grids.

The Batch Select-Download Documents feature must be enabled in a user’s Organizational Role/Feature Access. Once enabled, master grids will include a column of checkboxes preceding every row to allow users to select multiple records and a button will be displayed above the grids. NOTE: the documents that are in the zip file are based on Role access. If a user doesn’t have access to a document or doesn’t have the ability to download a document, then those documents will not be in the zip file for that user.

Set Feature Access in Roles

  1. From the homepage, click to access the Settings menu. From the Application Settings, select Org Roles/Permissions.

  2. Click of the user’s role.

  3. Toggle Batch Options ON.

  4. Toggle Download Documents ON.

  5. Click .

How to Batch Select and Download

  1. Open a Contracts, Organizations, Contacts or Documents main grid.

  2. Use the checkboxes preceding the row to select a batch of records from which to download documents. As you check off each record, the icon displays the number of records you have selected. NOTE: The limit is 250 individual documents. Additional documents will need to be downloaded in separate batches.

  3. When you have completed your selection, click .

  4. The system displays a message that your download is being prepared. Click OK. You may then continue working on other tasks.

  5. When the download is ready, the Document Batch icon is displayed in the header alerts area. The number indicates the number of zip files that are ready to download.

    • Hover over the icon to see the object (type of record), zip file name and document count within the zip file.

    • Click the icon to display the Downloads list. Once you select a zip file and download it from this list, it will be removed from your list of available downloads (i.e., your list of downloads is a one-time download).

    • Once you have no downloads left, the download icon will automatically go away.

  6. Alternatively, you will receive an email when the download is ready. Click the Download button in the email to download the zip file. NOTE: the download link within the email is only valid for 24 hours but zip files can be downloaded as many times as needed within that time frame.

  7. Open the zip file and proceed as you normally would to extract the individual files into a destination folder.
