Understanding Contract Reprocessing
The application can revise established Contract records by filling in missing data, entering data into newly added contract record fields, or updating fields with newer/different information through Data Extraction Reprocessing. For example, if Auto-Renewal (or any other missing piece of data) is in Non-Disclosure Agreement contract files but not in the Contract record layout (as seen in the graphic below), simply add Auto-Renewal to the NDA record layout and then use the Reprocess Contract feature to capture this information in the record(s).
There are two options: Update Contract and Overwrite Contract. Each are described below.
Update Contract
Click Update Contract to simply fill in missing/new data fields when a new field is added to the layout. Follow these steps:
NOTE: Data Extraction Reprocessing must be ON in Feature Access for users to perform these steps.
On the Homepage, click Contracts from the left-hand Records Menu.
Locate and click the record to be reprocessed.
Click Reprocess Contract. A pop-up window opens as seen in the graphic below. Here you can use the document file already associated with the record or click X to remove the file and search on your computer (or drag and drop into the Dropzone) for a different file.
Select Continue. When the reprocessing is complete, the window will display a list of updates, as seen in the graphic below.
Select Update Contract, and on the Contract record details page, click
at the top.
Overwrite Contract
The Reprocess Contract functionality can also overwrite records when newer/different established information is identified. In this instance, when the contract is Reprocessed, the Reprocessing Completed extraction report page showcases newer/different data highlighted in yellow (see graphic below). Then click Overwrite Contract.
NOTE: Overwrite Contract still updates the missing/newly added fields information in the record.
