The “active” version of a contract record is the legally executed version of the contract. If an amendment is added, it creates a new version, but it may only be a draft or not yet approved or signed. Until it is executed, you may not want the system to consider it “active” yet.
In the main Contracts grid, clicking on a row opens the Active (executed) version of the contract. To open the latest (newest) version, click the arrow icon in the Version column. If the currently Active version is also the latest (newest) version, the arrow will not be displayed.
Determination of which is the active version depends on whether the Make Active Version functionality is enabled in your system’s Application Settings.
If Make Active Version is not enabled in your system, you do not have the ability to choose the active version. The latest version of a contract is always the active version.
If Make Active Version is enabled in your system, you can choose which version to make the active version.
New contract records: There is only one version, the original, so upon saving the first time, it becomes the Active Version by default.
Amendments: Upon saving, you will be asked if you want to make this the Active Version. Select Yes or No.
Legacy contract records are contracts that were created before the function was introduced. If you open and then save such a record, you will be prompted to select which version to make the active version from a grid that lists all versions. Use the checkbox to select which version to make active and then click Continue.
The Contract Record header tells you which version you are currently viewing:
Active Version for the active version
Inactive Version for all other versions.
Canceled for canceled versions
Active Version Not Set for legacy contracts for which you have not yet selected an active version
In the Contract Version History grid the active version is identified with the label (Active Version) in the Version Type field.
How to Make an Inactive Version Active
Select the Inactive version from the Contract Version History grid.
Select Make Active Version from the
menu.In the pop-up, “Do you want to make this the active contract version?”, click Yes.
