Renewal creates a new version of a contract record. When to use: You are renewing a contract.

How to Renew a Contract

  1. Open the contract record and select Renewal from the menu.

  2. Enter notes for the renewal.

  3. Click OK.

  4. Make any necessary changes to the record.

  5. Click.

  6. Upon saving, you will be asked if you want to make this the Active Version*. Select Yes or No.

The old version is saved and a new version having the original contract ID but with a new version number is opened. The contract record header clearly identifies this as a Renewal. The Version number is also a drop-down field that allows you to open a different version.

An entry is added to Contract Version History at the bottom of the record. The Version Type is Renewal and the notes entered by the user, the date the renewal record was created, and the user who added the renewal record appear in the entry.

*NOTE: The “active” version of a contract record is the legally executed version of the contract. The Active Version appears in the Contracts grid and is the version to which the system will navigate. All other versions are inactive, though they can be viewed by selecting them from the Version drop-down in the contract record header or the Contract Version History grid.
