Collaboration Room Participants

Information on the participants in a Collaboration Room in Contract Logix

A Collaboration Room is a feature of the system where invited participants can review, comment on, redline and exchange messages with others about a document online. Using the Collaboration Room eliminates the need to send documents back and forth as email attachments during negotiations.

NOTE: Collaboration Rooms are a feature available in accounts which have paid for them.

Participants List

The Participants tab lists the names of all participants, their participant role (Owner, Collaborator or Reviewer) and email address. An icon next to the participant name is used to identify approval status and those who are Reviewers:

Participant is a Collaborator or Owner who has not yet Approved the document

Participant is a Collaborator or Owner who has Approved the document

Participant is a Reviewer

If E-Signature Option was used:

Participant is an e-signer who has not yet signed

Participant has e-signed

Adding participants

NOTE: Any participant can invite other participants to join the Collaboration Room; however, there are some restrictions. Owners can add other owners, collaborators, or reviewers. Collaborators can only add other collaborators or reviewers. Reviewers can only add other reviewers.

Click the + Invite Participant(s) button at the bottom of the Participants tab OR select + Invite Participant(s) from the Options menu.

Enter a Personalized Message (optional).

Select recipient(s). Click Add. The system will email the added participant(s) an invitation to join the room.

Removing participants

NOTE: Only a Collaboration Room Owner can remove participants.

Select Modify Participants from the Options menu.

Click the “x” corresponding to the participant you wish to remove.

Enter a message to be sent to the removed participant (optional) then click OK.

The system will email the removed participant. If that individual attempts to access the room, they will receive a system message “You no longer have access to this Collaboration Room…”
