A Collaboration Room is a feature of the system where invited participants can review, comment on, redline and exchange messages with others about a document online. Using the Collaboration Room eliminates the need to send documents back and forth as email attachments during negotiations.
NOTE: Collaboration Rooms are a feature available only in accounts which have paid for them.
Each invited participant receives a Collaboration Room email with a button. The procedure for joining a Collaboration Room is slightly different depending on who the recipient is and whether logging in is required.
If the recipient is a Contract Logix user (has a Full, Read-only or Submitter user account), clicking the Start Collaborating button in the email takes the user to the regular login page. After logging in they are then taken directly to the Collaboration Room. Alternatively, users may access a Collaboration Room by selecting
Collaboration Rooms on the left navigation menu. This displays a grid of all Collaboration Rooms they are participating in, and the user can click on a row to go to that room.
Third Party – Login Required
If the Collaboration Room requires third-party participants to log in (i.e., it was created with Secured Document toggled ON), clicking the Start Collaborating button in the email takes the first-time participant to a page where they must select a new password, log in and accept the Contract Logix Terms and Conditions. The participant will need to log in each time they access a room unless they already have an active session.
NOTE: Third-Party Invitees to Collaboration Room DO NOT count towards your accounts User Licenses.
Third Party – Login Not Required
If the Collaboration Room does not require third-party participants to log in, clicking the Start Collaborating button in the email takes them to the Collaboration Room page; however, the first time they use this feature, the participant must Accept the Contract Logix Terms and Conditions before they can access the room. After the first time, clicking Start Collaborating will take the participant directly into the room.
Collaboration Room Access
Access to the Collaboration Room is limited to the creator/owner of the room and to all invited participants. The Tenant Owner is also automatically given access to every Collaboration Room in that tenant in case the creator/owner (or invited owners if any) are not available when access is needed to perform owner-only tasks such as ending the Collaboration Room or removing a participant.
Participants access a Collaboration Room via the Start Participating button or the Access Link in the invitation email or via the Collaboration Rooms grid.
