How to Create a Contract Request Form

NOTE: Requests are a feature available in accounts which have paid for them. When creating a Request Type or editing an existing Request Type layout, the add Custom Field button does not appear. Instead, create the Custom Field in a Contract Type layout and save the changes. The new field will appear in the fields list of the Request Type. For more information, click the How to Add a Custom Field article link.

Understanding Requests

A Request is a user's wish to add a record. This is usually a request for a new Contract, but can also be an amendment or addendum to an existing Contract record or even a new Contact or Organization record.

Part 1: Design the form

  1. From the homepage, click to open the Application Settings. Select

    from the Application Settings menu.

  2. Select Request from the Object Types drop-down.

  3. Select .

  4. Click the , enter a name for the new request form in the blank space on the new row, select the appropriate Object Type (Contract) from the dropdown and click .

  5. Select from the Application Settings menu.

  6. Select Request from the Object Types drop-down.

  7. Click on the new request name you entered in Step 4.

  8. Fill out the Request Detail fields.

    1. Form Title. This is a text entry field. Your title will appear in the title bar.

    2. Allow Full Users to Submit Own Requests. Turn ON or OFF as needed.

    3. Submit Button Label. This is a text entry field. Enter the label that the submitter will see on the submit button.

    4. Submit To. This is a drop-down field. Defaults to Internal.

    5. Work Flow on Submit and Resubmit. This is a drop-down field. If you want to associate a work flow with this request form, select it from the drop-down. NOTE: The Workflow must be created first for the purpose of this Request Type.

    6. Contract Type. This is a drop-down field. Select the type of contract the request form will be used for. When selected, if a different type than the default is chosen select one of the following options: Reset to the {contract type} layout OR Keep the current layout.

  9. Click .

  10. You may now begin designing the form by adding sections, placing fields on the layout, rearranging sections, etc. Click the following Type Manager Knowledge Base topics links for details:

Part 2: Enable access to the form within organizational roles

  1. Select from the Application Settings menu.

  2. For each organizational role that should have access to the form, click the PERMISSIONS button.

  3. Scroll to the Request section.

  4. Click the Add/Edit radio button next to the new form. Or, in the header labeled ‘Set all to’, click Add/Edit.
